Challenge and Resolution

  • This relationship began 5 years ago when the previous cleaning services provider went into administration, and TCFM uninterruptedly took over the contract, inheriting the existing team and maintaining and improving service standards. Since, we have established a strong working relationship with the official’s office, ensuring their facilities are consistently well-maintained and comply with the highest standards of cleanliness and safety.
  • Our primary goals were to manage the ongoing challenges and maintain cleaning standards within the head office. We do this through performing regular deep cleans and weekly maintenance of all areas. We maintain these high standards through regular site visits and monthly audits. This includes constant colleague engagement ensuring colleagues are correctly trained.
  • Improving Standards: With colleagues adjusting to the new management and processes, we needed to ensure that cleaning standards were maintained or exceeded. We implemented our auditing and monitoring process including; Monthly audits, with one being an in-person audit every three months and telephone audits during the other two months, ensuring constant oversight and quality control. Regular site visits and validation checks by TCFM management to ensure that colleagues are adequately trained, aware of their roles, and compliant with health and safety standards. These visits also allow us to address any site-specific needs and reinforce our partnership with the colleagues on-site.
  • Colleague Transition: With the previous service provider going into administration, TCFM inherited the existing cleaning team under TUPE. The colleagues were initially sceptical and uncertain about the change, having had negative experiences under the previous provider. TCFM conducted thorough consultations with each team member and conducted our onboarding process. This included company orientations that helped colleagues understand our culture, values, and commitment to their development. By showing the colleagues their value within TCFM and ensuring a smooth transition, we removed concerns and helped integrate them into our team.
  • Local Community Challenges: Within the local area, there are a number of ongoing community challenges relating to drug use. This has led to instances of syringes and other dangerous materials being discarded near the premises, posing a safety risk to colleagues and visitors. TCFM have implemented training for our cleaning colleagues in the safe removal of hazardous waste, including syringes, ensuring any potentially harmful materials are handled correctly. We also conducted regular sweeps of the exterior grounds to remove any waste.

Outcomes

  • TCFM have developed a great relationship with this public official’s Office who have consistently expressed satisfaction with services.
  • The TUPE’d team have since settled and Area Managers have reported improved job satisfaction and higher productivity levels.
  • Overall cleanliness of the site has improved through our contract management and our ongoing vigilance regarding the handling of dangerous materials around the site has been acknowledged by stakeholders and the local community.
